- Completing a medical questionnaire: health information relevant to whether massage is appropriate for you (for example, pregnancy, recent injuries, medical conditions, medication). This is "special category data" under UK GDPR and is treated with additional care.
- Buying or redeeming a gift voucher: your name, contact details, recipient details, and payment information. Payments are processed by Stripe; we do not see or store full card numbers.
- Using our contact form: your name, email address, telephone number (optional) and the message you send us.
- Subscribing to our newsletter: your name and email address.
- Visiting our website: non-identifying technical data through cookies and analytics (see section 4).
3.3 Why we collect it (purposes & lawful basis)
- To provide the treatments and gift vouchers you have requested. Lawful basis: Performance of a contract (UK GDPR Article 6(1)(b)).
- To deliver massage treatments safely and rule out contraindications. Lawful basis: Explicit consent for special category data (Article 9(2)(a)) given when you complete the medical questionnaire.
- To send appointment reminders and post-treatment care messages. Lawful basis: Performance of a contract (Article 6(1)(b)).
- To send occasional marketing emails (offers, seasonal updates). Lawful basis: Consent (Article 6(1)(a)) — we only send these if you have opted in, and you can unsubscribe at any time using the link in every email.
- To respond to enquiries from the contact form or by phone/email. Lawful basis: Legitimate interests (Article 6(1)(f)) — specifically, our interest in responding to people who contact us.
- To meet legal and tax obligations. Lawful basis: Legal obligation (Article 6(1)(c)) — HMRC requires us to keep certain financial records for at least 6 years.
3.4 Who we share your data with
We do not sell your personal data. We share it only with the following processors, who act on our instructions under written contracts:
- GoHighLevel (HighLevel Inc.): our customer relationship management (CRM) and booking platform. They store contact details, booking history and message records on our behalf.
- Stripe (Stripe Payments Europe Ltd.): processes card payments for gift vouchers and deposits.
- Mailgun / our email provider: delivers booking confirmations, reminders and newsletters.
- Google Analytics 4 (Google LLC): aggregated, non-identifying website analytics — only loaded if you have given cookie consent.
- Cloudflare: serves our website and protects it from abuse; receives standard server logs (IP address, request data).
We will also disclose personal data if required to do so by law, by a regulator, or to defend or establish legal claims.
3.5 International transfers
Some of the providers above are based in the United States. Where personal data is transferred outside the UK, we rely on the UK Government's adequacy decisions, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses to ensure your data is protected to an equivalent standard.
3.6 How long we keep your data
- Booking records and medical questionnaires: 7 years from your most recent appointment (in line with professional insurance and HMRC requirements).
- Financial records (invoices, voucher purchases): 6 years from the end of the tax year, as required by HMRC.
- Newsletter subscribers: until you unsubscribe, then deleted within 30 days.
- Contact form messages: 12 months after the matter is closed, then deleted.
- Website analytics data: retained by Google for up to 14 months in aggregated form.
3.7 Your rights under UK GDPR
You have the right to:
- Access — ask for a copy of the personal data we hold about you.
- Rectification — ask us to correct any data that is inaccurate or incomplete.
- Erasure ("right to be forgotten") — ask us to delete your data where we no longer need it and no legal duty requires us to keep it.
- Restriction — ask us to stop processing your data in certain circumstances.
- Portability — ask for the data you have provided to us in a structured, machine-readable format.
- Objection — object to processing based on legitimate interests, including marketing.
- Withdraw consent — at any time, where we are processing data on the basis of your consent (this does not affect the lawfulness of any processing already done).
- Avoid solely-automated decisions — we do not make any decisions about you using automated processing alone.

3.8 Complaining to the regulator

4. Cookies Policy

4.2 Managing your cookie preferences
When you first visit the website you will see a cookie banner inviting you to accept all cookies, reject non-essential cookies, or set your preferences. Your choice is remembered for 12 months, after which the banner will reappear so you can confirm or change it.
You can change your decision at any time using the Cookie preferences link in the footer of every page, or by clearing your browser cookies for this website.

5. Booking Terms
5.1 Booking confirmation
Appointments can be booked online at /book/, by phone on 01475 600868, or by message. A booking is confirmed only once you have received a confirmation email or text from us; if you book online, the confirmation is sent automatically. Please tell us at the time of booking about any medical conditions, recent injuries, pregnancy, or medication, so we can recommend the most suitable treatment.
5.2 Cancellations and no-shows
A small deposit is taken at the point of booking to secure your appointment slot.
- Cancellations with more than 24 hours' notice: your deposit can either be refunded in full or carried forward to a future appointment, whichever you prefer.
- Cancellations with less than 24 hours' notice, and no-shows: the deposit is non-refundable. We may, at our discretion, allow it to be used against a future appointment — please get in touch and we will do our best to help.
We understand that emergencies happen. If something unexpected prevents you from giving us 24 hours' notice, please contact us as soon as you can and we will treat your case on its merits.
5.3 Late arrivals
If you arrive late, your treatment will still end at the originally scheduled time so that following clients are not affected. The full treatment fee remains payable.
5.4 Refunds
Treatments paid for in advance are non-refundable once delivered, except where required by the Consumer Rights Act 2015. If you are unhappy with a treatment, please raise it with us within 14 days under section 8.
5.5 Gift vouchers
- Gift vouchers are valid for 12 months from the date of purchase. The expiry date is stated on the voucher. We may, at our discretion, extend the expiry date on request — please contact us before the voucher expires.
- Vouchers are not redeemable for cash and cannot be exchanged.
- Lost vouchers cannot be replaced; please keep yours safe.
- To book using a voucher, please use our voucher redemption page or call us.
5.6 14-day cooling-off period (Consumer Contracts Regulations 2013)
Because gift vouchers are bought online (a "distance contract"), the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 give you the right to cancel and receive a full refund within 14 days of purchase, provided the voucher has not been redeemed in that period. To exercise this right, email info@thaimassagegreenock.co.uk with your order details. Refunds are processed within 14 days of cancellation to the original payment method.
Treatments (as services) begin on the day of the appointment. If you book a treatment that takes place within the 14-day cooling-off period, you expressly request that the service begins immediately and you accept that the right to cancel is lost once the treatment has been delivered.
6. Medical Disclaimer
Thai Massage Greenock provides traditional Thai massage and related therapies for the purposes of relaxation, wellbeing and the relief of common muscular tension. The information on this website, and any communications, materials or treatments provided, are for general wellness purposes only and are not a substitute for professional medical advice, diagnosis or treatment.
Our therapists are trained and experienced practitioners of Thai massage, but they are not registered medical doctors and do not diagnose, prescribe for or treat medical conditions. Always seek the advice of your GP or another qualified health professional with any questions you may have about a medical condition, and never disregard or delay seeking medical advice because of something you have read on this website.
If you are pregnant, have a recent injury, a long-term medical condition, are taking medication, or are in any doubt about whether massage is appropriate for you, please consult your GP before booking and tell us at the time of booking. We may decline to provide certain treatments, or recommend an alternative, where this is appropriate for your safety.
Thai Massage Greenock holds public liability insurance and professional indemnity cover through membership of a recognised professional therapy body. If you would like to see our certificates, or to know the name of our insurer or governing body, please email info@thaimassagegreenock.co.uk and we will be happy to share them.
7. Accessibility
We want everyone to be able to use our website and our services. The website has been built with accessibility in mind: it uses semantic HTML, supports keyboard navigation, allows text resizing, and aims to meet the Web Content Accessibility Guidelines (WCAG) 2.1 at level AA where reasonably practicable.
We recognise that the page-builder tools used to embed our booking and voucher widgets may not meet the same standard. If you are unable to complete a booking online for accessibility reasons, please phone us on 01475 600868 and we will book your treatment for you over the phone.
Our premises at 0/2, 16 South Street are located on the first floor and accessed via a staircase. We are sorry that we are unable to offer step-free access at this site. Please phone us in advance to discuss your needs and we will do our best to accommodate them.

8. Complaints & Dispute Resolution
We aim to provide a high standard of service. If you are unhappy with anything, please tell us as soon as possible so we can put it right. The quickest way is to phone us on 01475 600868 or email info@thaimassagegreenock.co.uk.
We will acknowledge your complaint within 5 working days and aim to resolve it within 30 days. If we cannot resolve it to your satisfaction, you may be entitled to refer the matter to an alternative dispute resolution (ADR) provider, or to the small claims procedure in the appropriate court.
9. Changes to These Policies
We may update this page from time to time, for example when the law changes, when we add new services, or when we adopt new tools. The "Last updated" date at the top of the page tells you when we most recently revised it. If changes materially affect how we use your personal data, we will tell newsletter subscribers and clients with active bookings directly.
10. Governing Law
These terms are governed by the law of Scotland. Any dispute arising out of, or in connection with, these terms or your use of our website or services shall be subject to the exclusive jurisdiction of the Scottish courts, except where you are a consumer resident in another part of the United Kingdom, in which case you may also bring proceedings in the courts of that part.
